Processes accounting, financial, vehicle use and other business performance documentation such as: reconciling project or work management related reports; preparing cost control reports and draft narratives on significant variances; and preparing various cost, project and/or work performance and vehicle use tracking statements, reports and summaries; makes recommendations to manager based on findings.

May be required to participate in the planning, scheduling, coordination and organization of office accommodations and moves of employees, arrange phone and office equipment relocations; may be required to act as a liaison with contractors or others to initiate action for building facility issues such as HVAC, building security systems, janitorial issues, etc.

May be required to perform work leadership and coordination of lower level Field Service Administrator and other staff. Investigates and resolves escalated problems and issues referred from lower level FSA and other staff.

Performs all of the same functions as the Field Services Administrator 1 and 2 jobs as required.

Performs minor duties related to the above duties that do not affect the rating of the job.




Supervisory skills, office procedures, practices, routines, filing systems document processing, report formatting and preparation, personal computer and related application program operation, reception and telephone answering techniques and knowledge are typically acquired through graduation from High School plus completion of ‘Overview of Electrical Utility Operations’ (offered through EITI or an equivalent institution) and in house BC Hydro courses or equivalent in Supervisory skills, personal computer and related word processing /spreadsheet/ presentation/database applications, Financial systems, Expenses, Passport Management, Design, Contract Requisition, Click Schedule, basic DAD, Power ON, Service link, BPR, Gateway Web, CCS, MS Projects, ISS/Work Management, Resources on Demand, various reporting, maintenance tracking, internet browsers, e-mail, messaging and other related applications and/or security systems.

A minimum of 1 year of general clerical and administrative experience as a Field Services Administrator 2 or 2 years equivalent experience in general clerical admin plus work order management, customer work management, dispatch, contract administration, materials issues management, time capture, billing/expenses, and business/financial performance reporting including demonstrated proficiency with PC operation. Satisfactory performance on this job requires approximately 6 additional months to acquire the knowledge and skills necessary to perform the full scope of the job.

Previous supervisory experience is an asset. Well-developed oral, written and interpersonal communication and organisation skills.

As part of the selection process, applicants may be required to take a written test during the interview.

Normal office conditions with occasional noise/calls to/from line crews or during emergency outage conditions that occur occasionally throughout the year. Regular exposure to noise from nearby facilities.

Part-Time hours could be a maximum of 30 hours per week.

The ideal candidate will live in within 30 km to Campbell River headquarters.

Some lifting and moving of office supplies in and around an office.

Skills, Knowledge and Abilities Required:

Ability to provide work leadership over assigned staff as required.

Ability to organise, schedule and expedite work orders and Local Work Contracts using various manual and work management systems and tools.

Ability and knowledge of financial tracking systems, bill, book and other coding to project and other work orders.

Ability to review and assemble pole renewal tenders.

Ability to relay information or dispatch crews and knowledge of single person crew procedures.

Ability to prepare and input contract purchase requisitions/orders and other data in spreadsheets and other applications.

Ability to prepare reports and process data via various computer systems for maintenance, repair or installation of electrical plant.

Ability to provide administrative/secretarial support, check and process expense claims and to prepare and type correspondence, reports, forms and other documentation.

Well-developed oral, written and interpersonal communication, organisation, teamwork and supervisory skills.

Ability to review and process salary and wage data into payroll related systems.

Ability to arrange for various civil work, delivery and project related services.

Demonstrated ability to deal effectively with internal and external staff and contacts.

Ability to review, process and/or correct invoices, apply account coding etc.

Ability to investigate and resolve escalated issues referred from Field Service Administrator and lower level staff.

Ability to process various accounting and financial documentation processes, systems and procedures.

Knowledge of order types and processing, dispatch, crew monitoring and emergency situation handling procedures.

Knowledge of a variety of clerical routines, monitoring and recording systems, petty cash and related processes etc.

Knowledge of financial and accounting related processes, systems and procedures.

Basic working knowledge of utility operations.

Demonstrated ability to operate a PC, and related application software programs.
